Privacy Policy
Effective date: October 26, 2026
Verdex ("Verdex," "we," "us") provides software services, including a teledermatology service that dermatology clinics use to offer virtual skin visits to their patients. This policy describes what information we collect, how we use it, and the choices you have.
Information we collect
- Information you provide — such as your name, email address, or phone number when you contact us or use our services.
- Scheduling information: when you book a call, our scheduling provider collects your name, email address and any answers you give, and shares them with us.
- Demo line information — when you call our demo line, we receive the phone number you call from and the content of your call, which we use to generate the demo summary the service provides.
- Virtual visit information — when your dermatology clinic invites you to a virtual visit through Verdex, we receive your mobile number from the clinic. During the visit you provide your name, date of birth, the state you are in, optionally your email address, a description of your skin concern, and photos. Payments are processed by our payment provider (Stripe); we do not receive or store your full card number.
- Website data — standard technical information such as browser type, pages visited, and IP address, collected through server logs. We also use a privacy-focused analytics service (PostHog) to understand how visitors use our marketing website, for example which sections are viewed and which questions are opened. This analytics data does not use cookies and does not include the personal information you enter into our forms. Virtual visit pages do not use analytics or advertising trackers.
How we use information
We use the information we collect to provide and operate our services (including generating and delivering demo call summaries, and delivering virtual visits), to respond to inquiries, to maintain the security and reliability of our systems, and to comply with legal obligations.
Health information
Virtual visit information is collected and processed on behalf of your dermatology clinic so the clinic can provide your care, including sending it to your dermatologist and filing it in your clinic's medical record. When we handle health information for a clinic, we act as the clinic's business associate under HIPAA. Its use and disclosure are governed by our agreement with the clinic and by your clinic's Notice of Privacy Practices, and we do not use it for marketing or sell it.
Services we provide to business customers under contract are governed by our agreements with those customers.
Text messaging (SMS) program terms
Demo line: callers to the Verdex demo line may receive a single, one-time text message containing the summary generated from their own call. Consent is obtained verbally during the call, and the message is sent only to the number the caller called from. No recurring messages are sent. Message frequency: one message per completed call.
Virtual visit texts: when you ask your dermatology clinic for a virtual skin visit and give the clinic your mobile number, you will receive texts from your clinic via Verdex about that visit: a secure link to start your visit, a confirmation when your photos are received, and a notice when your results are ready. Texts do not contain medical details. Message frequency: up to 3 messages per visit.
For both programs:
- Message and data rates may apply.
- Reply STOP at any time to opt out of receiving messages from us.
- Reply HELP for help, or contact us at founders@verdexai.com.
- Carriers are not liable for delayed or undelivered messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Opt-in data and consent are never sold or shared with any third party for their marketing.
How we share information
We do not sell personal information. We share it only with your clinic (for virtual visits), with service providers who help us operate our services (such as telecommunications, payment processing, and cloud-hosting providers) under confidentiality obligations, when required by law, or in connection with a business transaction such as a merger or acquisition — and never for third-party marketing, as stated above.
Data retention
We keep personal information only as long as needed for the purposes described in this policy, then delete or de-identify it. Virtual visit information is kept as required by our agreements with clinics and applicable law; your clinic keeps its own copy in your medical record.
Security
We use reasonable administrative, technical, and physical safeguards designed to protect the information we handle, including encryption of virtual visit information in transit and at rest.
Children
Our services are not directed to children under 13, and we do not knowingly collect their information. A virtual visit for a minor is completed by a parent or guardian at the direction of the clinic.
Your choices
You may opt out of text messages at any time by replying STOP. For any questions about your information, or to request access to or deletion of it, contact us at founders@verdexai.com. For virtual visit information, you can also contact your clinic, which maintains your medical record.
Changes to this policy
We may update this policy from time to time; the effective date above reflects the latest revision. Material changes will be posted on this page.
